What we collect and why
- Enquiries. If you email us or use the contact form, we receive your name, email address, organisation and whatever you write, and use it to reply and prepare a quote. Lawful basis: steps you ask us to take before a contract, and our legitimate interest in responding to enquiries.
- Client work. If we work together, we keep contact details, project correspondence and invoices to deliver the work and meet our legal and tax obligations. Lawful basis: contract and legal obligation.
- Website analytics. We use Cloudflare Web Analytics to count visits. It records the pages viewed, the referring site, country and browser type, and reports them to us in aggregate. It doesn’t use cookies or local storage and doesn’t fingerprint visitors. Lawful basis: our legitimate interest in understanding how the site is used.
- Hosting and security. The site is hosted on Cloudflare. To deliver pages and protect the site from attacks, Cloudflare processes technical data such as your IP address, browser and the pages requested. Lawful basis: our legitimate interest in running a secure website.
Cookies
This site doesn’t use advertising, tracking or analytics cookies, so there’s no cookie banner. Cloudflare may set strictly necessary security cookies (such as __cf_bm) to tell people apart from automated bots. These aren’t used to track you and don’t need your consent.
Who we share it with
We don’t sell or rent your personal data. We share it only with providers who help us run the business, under contracts that require them to protect it:
- Cloudflare, Inc. Website hosting, security and analytics.
- {Your email provider}. Email, for example Google Workspace.
- {Accountant or bookkeeping software}. Accounts, and HMRC where the law requires.
We may also disclose information where the law requires it or to protect our legal rights.
International transfers
Some of these providers process data outside the UK, including in the United States. Where they do, the transfer is protected by UK adequacy regulations or by appropriate safeguards such as the UK International Data Transfer Addendum to standard contractual clauses.
How long we keep it
- Enquiries. If they don’t lead to work, deleted within 12 months.
- Client and financial records. Kept as long as tax law requires (at least 5 years after the relevant Self Assessment deadline), then deleted.
- Analytics. Reported to us only in aggregate; Cloudflare keeps it under its own retention policy.
Your rights
Under UK data protection law you can ask to see the personal data we hold about you, have it corrected or erased, restrict or object to its use, and receive it in a portable format.
To use any of these rights, email dan@bearingandfix.co.uk. We’ll respond within one month, and there’s normally no charge.
Complaints
If you’re unhappy with how we’ve handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk · 0303 123 1113.
Changes to this policy
We’ll update this page if the way we use personal data changes. The date at the top shows when it was last revised.
